Northrop Grumman has an opening for a Human Resources Administrative Assistant to join our Aeronautics Systems HR organization, a team that is critical to the sector’s success and the development of a positive workplace culture. This position is located onsite in Melbourne, FL and will be based on-site, in-office. Northrop Grumman offers a variety of flexible work options to accommodate the personal needs of our employees.
This position supports the day-to-day administrative operations of the Engineering HR team, including calendar management, travel coordination, expense reporting, employee records maintenance, onboarding logistics, and HR communications. This role is ideal for a highly organized, detail-oriented professional who thrives in a fast-paced environment and handles sensitive information with discretion.
Key Responsibilities
Administrative & Operational Support
- Manage calendars, schedule meetings, coordinate meetings, and resolve basic scheduling conflicts for HR leaders or team members.
- Arrange meeting logistics, including conference rooms, virtual platforms, agendas, materials, catering, and visitor coordination.
- Prepare, format, and distribute correspondence, reports, presentations, and meeting materials.
- Maintain organized electronic collaboration sites and departmental files.
- Answer routine inquiries, route questions to the appropriate team member, and provide timely follow-up.
- Support department operations by ordering supplies, processing invoices, tracking action items, and coordinating office needs.
- Coordinate Ryder mailings and pick up/drop off at Fed Ex as required.
Travel & Expense Coordination
- Book domestic travel, including flights, hotels, rental cars, ground transportation, and related itinerary details.
- Prepare and submit expense reports in accordance with company policy.
- Track receipts, reconcile charges, and follow up on missing documentation or approvals.
- Assist with travel changes, cancellations, and schedule adjustments as needed.
HR Coordination & Employee Support
- Support new hire onboarding by preparing materials, scheduling orientation sessions, collecting required documentation, and coordinating with internal stakeholders.
- Coordinate communications and logistics for HR programs, initiatives, and events.
- Assist with employee communication efforts, audits, and engagement activities.
- Support HR service center interactions and basic problem resolution.
- Process relocation requests for internal movement of the Engineering and/or GSD organizations.
Employee Records & Reporting
- Maintain accurate employee records and update HR systems with routine employee information, status changes, contact details, and other basic data.
- Prepare basic HR metrics, spreadsheets, status updates, and recurring reports for the HR team.
- Provides operational support for special projects; researches and obtains information, helps plan and ensure follow-through of assigned tasks.
- Handle sensitive employee, candidate, and business information with discretion and confidentiality.
Additional Support
- Assist with event planning and execution for HR initiatives.
- Provide support for special projects and cross-functional efforts as needed.
- Perform other administrative and operational duties to support the HR team.
Qualifications
Basic Qualifications:
- High School Diploma/GED and 6 years of administrative support/HR experience OR Associate’s Degree and 4 years OR Bachelor’s Degree and 2 years related professional HR experience may be considered in lieu.
- Proficiency in Microsoft Office or Microsoft 365 (including SharePoint, Teams, Word, Excel, PowerPoint, Outlook & OneDrive).
- Passion for human resources, employee engagement, and the employee experience.
Preferred Qualifications:
- Associate’s or Bachelor’s Degree in Human Resources or related field.
- Ability to work with large data sets.
- Project Management skills.
- Advanced Microsoft Office or Microsoft 365 skills.
- Workday or similar HR Information System experience.
- Proficiency scheduling and leading meetings in Zoom and Microsoft Teams.
Salary and Benefits
Primary Level Salary Range: $52,700.00 - $87,900.00
The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.
Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
