Accounting Coordinator

The Accounting Coordinator is responsible for managing the day-to-day financial and administrative functions of the machine shop, including accounts payable, accounts receivable, invoicing, collections, payroll support, and office administration while ensuring accurate financial records and excellent customer service.

Essential Duties and Responsibilities
Accounts Receivable
- Generate customer invoices.
- Monitor outstanding receivables.
- Follow up on past-due invoices.
- Maintain customer payment records.
- Process customer deposits and payments.
- Reconcile customer accounts.
Accounts Payable
- Process vendor invoices.
- Match purchase orders, receipts, and invoices.
- Prepare weekly payment runs.
- Maintain vendor records.
- Resolve invoice discrepancies.
- Track vendor credits.
Financial Administration
- Assist with monthly financial close.
- Maintain accounting records within Financial System.
- Process expense reports and company credit card reconciliations.
- Support budgeting and reporting activities.
- Assist external auditors and accountants as required.
Administrative Support
- Maintain office files and records.
- Coordinate incoming and outgoing correspondence.
- Support onboarding paperwork and employee records.
- Assist with document control and administrative tasks.
- Coordinate office supplies and facility-related purchases.
Reporting
- Produce AR aging reports.
- Produce AP aging reports.
- Monitor cash collection metrics.
- Support management reporting requirements.
Qualifications
- 2-5 years of AP/AR or accounting administration experience.
- Experience with ERP systems (NetSuite, QuickBooks, or similar).
- Strong Excel skills.
- Strong organizational and communication skills.
- High attention to detail.
- To comply with U.S. export regulations, such as the International Traffic in Arms Regulations and the Export Administration Regulations you must (a) be a “U.S. Person” as defined under those regulations, which includes U.S. citizens, U.S. nationals, lawful permanent residents of the U.S., and protected individual as defined by 8 U.S.C. 1324b(a)(3), or (b) otherwise be eligible to obtain the required authorizations from the U.S. Department of State or U.S. Department of Commerce, as appropriate
Preferred Skills and Education
- Manufacturing environment experience.
- Understanding of purchase orders and job costing.
- Familiarity with ProShop and QuickBooks
